Individual help, by appointment

Explain what the time is for before anyone books.

A short office-hour appointment can help someone clarify a concept, review an attempted approach or choose a next step. It is different from a full lesson or an open group discussion. State the topic boundary, location and length so a guest knows how to prepare.

A worked two-hour window

Plan the window, the conversation and the breathing room.

01

14:00–16:00 in your event time zone

For example, reserve this window on one chosen weekday. Use 15-minute appointments and a 5-minute break between them. Possible starts in an otherwise empty window are 14:00, 14:20, 14:40, 15:00, 15:20 and 15:40; the final appointment ends at 15:55.

02

Six appointments is a planning estimate

Six 15-minute meetings use 90 minutes, five between-meeting breaks use 25 minutes and 5 minutes remain. This assumes one continuous window, no break after the final meeting and no conflicts. Existing bookings, calendar busy time, event date limits and elapsed times can reduce what a guest can actually book.

03

One question and one next step

Ask the guest to briefly explain the topic and what they have already tried. Use the first few minutes to identify the question, most of the appointment to work through it and the final minutes to agree on one next step. Offer a longer lesson separately if the question needs more time.

How it works

Start with a template. Make it yours.

  1. 01

    Customize an existing event

Start with Client consultation, which defaults to a 45-minute appointment and a 15-minute break. Rename it One-to-one office hours, manually set the duration to 15 minutes and change the break to 5 minutes for this example. Edit its description and add your agreed physical location or external call link.

  2. 02

    Reserve the actual window

In weekly availability, enable only the weekday and 14:00–16:00 window you want to offer, using the event time zone. Review any date restrictions and calendar conflicts, then check the guest booking page before sharing. Weekly availability offers separate appointments; it does not book a recurring series for a guest.

  3. 03

Ask for useful preparation, then share

Add these suggested optional questions yourself: What topic would you like help with? What have you tried? What would make this appointment useful? Remove or edit the existing template questions to suit the session. Keep the form brief and non-confidential: no private student work, grades or personal records. Share one clearly labeled office-hours link with the people you intend to help.

Good to know

Know exactly what it does.

  • Calenyo coordinates one-to-one appointments with confirmations, configurable reminders and secure reschedule or cancellation links.
  • Each guest makes a separate booking. This is not a group session, drop-in queue or automatically created recurring series. Use an external call service or agreed meeting location.
  • The capacity calculator and agenda builder below are planning aids; their results do not transfer into event settings or guarantee openings. Calenyo does not manage a learning system, student records or lesson payments. If you teach through an institution, follow its approved tools and office-hours requirements.

Product questions

Questions before you start.

How many 15-minute appointments fit in two hours with 5-minute breaks?

Six appointments fit in the worked example: 90 meeting minutes, 25 minutes of between-meeting breaks and 5 minutes unused. There is no required break after the final appointment in this estimate. This assumes one continuous window without conflicts; check the actual guest page rather than treating the estimate as live availability.

How do I set up the office-hours example in Calenyo?

Choose Client consultation, which defaults to 45-minute appointments and 15-minute breaks. Rename the event, manually change duration to 15 minutes and break to 5 minutes, and set your chosen weekly window in the event time zone. Edit the description, location and questions yourself; there is no prefilled office-hours template.

Will a weekly window book a recurring appointment for each guest?

No. Weekly availability offers times that guests can book individually. Each booking is separate; Calenyo does not create a recurring meeting series, coordinate group availability or run a drop-in queue.
