Meeting capacity calculator

How many appointments fit, with room between them?

Plan one continuous window of time. Add breathing room for preparation or wrap-up, then compare the appointment count with a schedule that has no breaks.

Your time window

Enter whole minutes, up to 1,440 (24 hours) per field.

No email or account is needed to calculate. Changing these values does not create a booking or save event settings.

Estimated capacity

5 appointments

Appointment time
150 min
Breaks between appointments
60 min
Unused time
30 min

With no breaks, the same window fits 8 appointments.

Breaks count only between appointments. No break is reserved after the final one.

Worked example: four hours, 30-minute calls, 15-minute breaks.

A 240-minute window fits five 30-minute calls and four 15-minute breaks: 150 minutes of appointments + 60 minutes of breaks = 210 minutes, with 30 minutes unused. A sixth call would need another 45 minutes. Without breaks, eight calls would fit.

The rule is: appointment count = floor((available minutes + break minutes) ÷ (appointment minutes + break minutes)). For a 75-minute window, two 30-minute calls and one 15-minute break fit exactly.

An estimate, not a live availability check.

This assumes equal appointment lengths in one uninterrupted window. It does not check existing bookings, calendar conflicts, split availability windows, travel requirements or time zones. If you need time after the last call, subtract it from your available window first. A practical limit may be lower than this calculation.

Use the plan when you create your booking page.

Calenyo can help you share one-to-one appointment times with clients. After signup, choose the existing Client consultation template, which starts at 45 minutes. Enter your chosen duration, break and availability manually before publishing. This calculator does not apply settings, create an event or book an appointment.
